Weapon Detection System Request for Proposal

- The purpose of this proposal is for the purchase and implementation of a portable walk-through detection system to improve safety and screening capacity in the Lewis County school district. The system must be capable of rapid set up, relocation, and daily operation by school staff. Proposals must include delivery, setup, training, and full support for 0ne unit, in addition a quote for 4 units.

Minimum Technical Specifications.
- The system must be a walk-through detection system that is battery-powered and fully portable.
- The system must include all required hardware for deployment in any area.
- The system must have a minimum 10-hour run time on an internal battery charge. Recharging time must be limited to not exceed 5 hours.
- The system Must include Visual Zone lighting to indicate object locations on an individual or in the individual’s belongings.
- Mobile base must be wheels or the equivalent of wheels. Setup for the system should take no more than 10 minutes by one staff member and be tool free.
- System should be weather resistant and should be corrosion-resistant, including electrical compartments. System should be able to be used indoors or outdoors.
- System should be able to support upgrades and add-ons as needed. System should not have to be fully replaced as new modules are developed.
- System should include at least a 2-year warranty.
- Vendor must be able to provide business hour support and able to dispatch technicians in a timely manner.
Proposal Requirements
- Proposal must include a product data sheet or system overview.
- Itemized quote with a total price for a single unit and a maximum of four units.
- Proposal must include a detailed description of services included in the delivery, installation, training, and support.
- Proposal must include a timeline from order date to delivery date.
- Warranty terms and conditions must be in writing.

- Proposals will be evaluated based on the ability to meet or exceed technical specifications.
- Total cost and value
- Included services and support including training.
- Warranty of product and service plan.
BIDDING PROCESS
- Bidders must be insured and bonded and a Drug-Free Workplace affidavit is required.
- All bidders must submit verification of current background checks, and certification of Worker’s Compensation Insurance coverage.
Sealed bids should be submitted to the Lewis County Board of Education Central Office at 206 South Court Street, Hohenwald, Tn. 38462. All bids must be sealed and clearly marked with the following written on the outside of the envelope: Weapon Detection System Request for Proposal.
If bids are submitted by courier service, courier label must include bid information. Only original bids will be accepted; no facsimile bids or e-mail bids will be considered. Sealed bids will be publicly opened and read aloud at 1:00 p.m. on Wednesday, September 3, 2025, at the Lewis County Board of Education office at 206 South Court Street, Hohenwald, Tn. 38462. The Lewis County Board of Education reserves the right to reject any and all bids.
